Description
The City of Sheridan is seeking a qualified individual, consultant, firm, or event-management professional to provide comprehensive event coordination services for the 2027 Sheridan Celebrates program and designated City Council ward-specific events. The scope includes annual event planning and budgeting; committee, staff, stakeholder, vendor, sponsor, exhibitor, entertainment, and volunteer coordination; festival and parade planning and implementation; permitting and logistics; marketing, social media, advertising, photography, public relations, and community outreach; sponsorship development and recognition; administration of a philanthropic giving program; and coordination of ward-specific events. Required deliverables include implementation plans and event calendars, budgets and updates, meeting materials, site and layout maps, exhibitor and parade materials, volunteer training materials, promotional and sponsorship materials, fundraising materials and reports, event evaluations, post-event reports, and an annual report to City Council. Proposals must address qualifications and relevant experience, proposed approach and methodology, project management and availability, at least three comparable professional references from the past five years, detailed fees and reimbursable expenses, conflicts of interest, insurance capabilities, and any exceptions or requested modifications. The anticipated contract covers the 2027 calendar year, with possible future extensions subject to authorization and applicable procurement requirements.
