Description
The Los Angeles Public Library is seeking a qualified Special Events Coordinator to plan, direct, coordinate, produce, and manage internal Library events and external events held at Library facilities. The scope includes serving as liaison among Library staff, clients, vendors, and contractors; conducting facility tours and walk-throughs; developing event timelines, proposals, menus, budgets, invoices, and event documentation; coordinating staffing, vendors, permits, insurance, setup, strike, signage, and post-event inspections; and maintaining event calendars, client files, service-provider lists, inventory records, reports, and statistics. The coordinator will support events at the Central Library and its 72 branch libraries, including catered events, weddings, galas, meetings, and other full-service events. Private events may involve up to 250 guests, and the coordinator must be on-site throughout private events, including load-in and strike. The work is expected to require approximately 20 to 50 hours per week, depending on the event schedule, with flexibility for days, evenings, and weekends. Proposers must have at least five years of relevant experience, including coordinating large-scale events with more than 200 attendees, and must submit a single searchable PDF proposal containing the required narrative, pricing, and compliance materials.
