Description
The Town of Estes Park is soliciting a contractor to provide preventive maintenance and service for HVAC equipment at 19 town facilities. Required services include four scheduled inspections per year—minor inspections in January and July and major inspections in April and October—with tasks such as filter replacement, electrical and safety-control checks, lubrication, condensate-drain cleaning, heating and cooling-cycle testing, pressure checks, compressor testing, and performance evaluations. The contractor must provide all supervision, labor, transportation, equipment, permits, licenses, and replacement parts and supplies necessary for the work. Emergency and after-hours calls require acknowledgment within two hours, while additional repair work must be authorized in writing and may be separately competed when it exceeds $10,000. The contractor must submit building-specific service reports and invoices within 30 calendar days after each service. The solicitation requires a bid guarantee equal to 5% of the total bid amount, and the successful bidder must provide performance and labor-and-material payment bonds, each equal to the contract price, within ten days after written notice of award. The initial contract term is January 1 through December 31, 2027, with four possible annual renewals. Required proposal materials include the Bid Bond Form, Bidder Qualifications and Data Form, Subcontractors and Related Data Form, and Bid Proposal Form.
