Description
The City of El Paso is soliciting bids for comprehensive sound production and management for its WinterFest Holiday Fiestas Music series. The contractor must provide professional sound reinforcement equipment, including speakers, microphones, monitors, mixing consoles, cables, and a DJ booth structure, along with adequate support staff. The scope includes site visits, electrical and logistics coordination, load-in and load-out, system installation and testing, soundchecks, live audio mixing and monitoring, troubleshooting, artist liaison, stage management, backline setup and teardown, performer transitions, announcements, and technical support. The contractor must commit to 20 concert days during each of the 2026–2027 and 2027–2028 seasons, for a total of 40 scheduled days. Setup is scheduled from 4:30 p.m. to 5:30 p.m., concerts from 6:00 p.m. to 10:00 p.m., and breakdown from 10:00 p.m. to 11:00 p.m. The contract term is 36 months from the contractor’s receipt of written notice of award, with possible month-to-month extension of up to six months. The City will make one award for all items and may order supplies or services as needed; annual expenditures may not exceed $49,999.99, and aggregate expenditures for multiple years may not exceed $100,000.
