Description
The City of Tavares seeks a qualified individual, firm, or organization to plan, promote, and manage the 10-year reunion of Rifles, Rails & History, a multi-day living history exhibition scheduled for October 2027. The event producer will coordinate all aspects of the exhibition with City staff, including historical programming, vendor coordination, marketing and public relations, budgeting, sponsorship development, and event planning and management. The proposer must provide project plans, site plans, programming rosters, marketing plans, budgets, sponsorship plans, reports, and final event summaries. The City will provide up to $50,000 in funding, subject to budgetary appropriation, and in-kind support that may include an outdoor waterfront venue, restrooms, barricades, electrical service, potable water, and police and fire services. Proposals must include relevant certifications and licenses, at least three references for previously held events, and historical references for educational material. The proposal must be submitted as a PDF through the online procurement portal. The solicitation also requires acceptance of the City's general terms and conditions.
