Description
The University of Iowa seeks a qualified supplier to provide United States-based, non-AI virtual medical scribe services for its Department of Ophthalmology. Services must be delivered through a secure, fully HIPAA-compliant connection during designated appointment hours, generally 8:00 a.m. to 5:00 p.m. Central Time. Scribes will use Kaleidoscope and Epic, including Imaging and Procedures, Orders, Charge Capture, Visit Diagnoses, Problem List, Medications, Clinic Notes, Letters/Communication, and SmartSets, to document patient encounters and finalize chart entries for clinician review and signature. The supplier must support ophthalmology appointments, provide clinician communication devices or support use of University devices, maintain United States-based personnel, and execute the University's Business Associate Agreement. The proposal must describe the service approach, ophthalmology and Epic experience, training, scheduling, staffing, coverage and replacement procedures, pricing and billing, performance metrics, turnaround times, quality assurance, HIPAA compliance, data-security and offshoring practices, and proposed personnel. Respondents must provide three relevant references, a managerial single point of contact, stakeholder and risk approaches, financial statements for the previous two years, and responses to the required electronic bid attributes. The resulting agreement will have an initial one-year duration and may be extended by mutual written consent for four additional one-year periods, for a maximum term of five years.
