Description
County Housing is requesting proposals for turnkey document digitization, electronic storage, and secure destruction services for approximately 3,000 boxes of records. Approximately 2,100 boxes will be scanned and approximately 900 boxes will be designated for destruction only. The scope includes inventory, pickup, secure transportation, chain-of-custody tracking, document preparation, scanning at a minimum of 300 DPI, searchable PDF creation, OCR, indexing and metadata capture, quality assurance, reporting, and certificates of destruction. The contractor must provide a secure cloud-based repository with web access, search and retrieval, role-based permissions, multifactor authentication, audit logs, encryption, and export capabilities. Paper records may be destroyed only after quality assurance acceptance and written authorization, and not less than 60 days after digitization and acceptance. Proposals must include all-inclusive per-image pricing, per-box pricing for shred-only records, and any applicable cloud storage, licensing, user-license, and professional-services fees. The contractor must demonstrate at least five years of relevant experience and comparable work for government, housing, healthcare, or other regulated organizations.
