The University of Texas Rio Grande Valley is soliciting proposals for one or both of two service categories: high-volume photography for commencement and graduate recognition events, and on-call freelance photography and videography for university programs, marketing, communications, research, athletics, advancement, executive functions, and other initiatives. Hallmark event work includes multiple photography stations, student portraits, stage-crossing and candid coverage, accurate association of images with student records, event coordination, and timely online photo availability. Services may occur across multiple campuses and off-site venues, including evenings, weekends, and holidays. Freelance services include photography, video capture, editing, production, and delivery of RAW files, high-resolution images, 4K or HD video, audio, graphics, captions, and project assets in specified formats. The contractor must provide qualified scalable staffing, professional-grade and backup equipment, transportation, quality control, domestic U.S.-based storage, and compliance with university privacy, security, branding, accessibility, and content-ownership requirements. Pricing is requested for hallmark-event packages and rebates, plus half-day and full-day rates for five on-call service tiers. The agreement may run through August 31, 2029, with up to two additional one-year renewal terms.
