Description
Aurora Public Schools is soliciting proposals for a comprehensive K-12 point-of-sale and meal accountability system serving approximately 38,000 students across 65 food sites. The solution must support point-of-sale operations, online payments, meal counting and claiming, free-and-reduced-lunch and Community Eligibility Provision application management, direct-certification processing, verification workflows, reporting, multilingual notifications, and Colorado Department of Education and USDA compliance. The district processes approximately 40,000 student meals daily and requires support for high-volume application and eligibility data, historical retention, audit trails, and exports in PDF and Excel formats. The proposed software must integrate with Infinite Campus and Oracle Cloud, support SFTP data exchange and consistent student identifiers, provide validation and discrepancy reporting, and maintain required security, privacy, accessibility, backup, disaster-recovery, and data-retention controls. The scope includes implementation, test and production environments, data migration, user acceptance testing, training, ongoing support, software updates, service-level commitments, and optional equipment such as Windows-based touchscreen terminals, tablets, scanners, PIN keypads, payment readers, cash drawers, receipt printers, and electronic signature pads. Vendors must submit pricing, a management summary, implementation and support plans, vendor qualifications and references, a detailed technical response, required forms, a certificate of insurance, and a separate redacted proposal.
