Ventura Housing Authority is seeking proposals from qualified firms to provide after-hours answering and dispatch services for maintenance-related calls and other potential service areas. The contractor will handle incoming calls, document service requests, dispatch information to on-call personnel, and enter maintenance-related work orders directly into Yardi. Services must support English- and Spanish-speaking callers and may include phone, SMS, email, web-portal, and other communication channels supported by contractor-provided infrastructure. The authority expects vendors to describe service levels, reporting, data analytics, structured data exports, tracking of dispatch milestones, Yardi and other system-integration capabilities, and operational efficiencies. Optional case-management and other future services may be described but are not required for initial implementation. The current provider is The On Call Team, which has served Ventura Housing since approximately 2017; the current contract has reached its full term and all extensions have been exercised. Ventura Housing paid approximately $11,478.98 during calendar year 2025, and the prior year's average volume was approximately 714 billed minutes per month. Full outsourcing and service to other clients are permitted provided service levels and contract requirements are maintained, and all personnel performing the work must be located within the United States.
