ADVERTISEMENT FOR BID TOWN OF COLONIE The General Services Department Notice To Bidders The Town of Colonie ("Town") invites bids for the following: RFB: 2026 Printing of Colonie Connection Newsletters GS DB403 Sealed bids will be received at the Office of Purchasing, Memorial Town Hall, Latham, NY 12110 until September 16, 2026 11:00 AM local time. At that time and place all bids will be publicly opened and read aloud. All bidders shall comply with the N.Y. Gen. Mun. Law §103. Beginning on September 2, 2026, the solicitation documents for this matter will be on file and publicly exhibited at the Office of Purchasing, 534 New Loudon Road, Memorial Town Hall, Latham, NY 12110. Copies of said documents may be obtained at that address. Complete bid documents may also be available for download from the Empire State Purchasing Group's web site at http://www.bidnetdirect.com/new-york. Bids shall be submitted at the time and place indicated in the Notice to Bidders and shall be enclosed in an opaque, sealed envelope. The opaque envelope shall be marked on the outside with the project title and name and address of the bidder. The submission shall consist of the completed pages of this document marked “TO BE SUBMITTED," and any other required documents. The submission shall also include, if required in the Notice to Bidders, the bid security. If the bid is sent through the mail or other delivery system, the sealed envelope containing the bid shall be enclosed in a separate envelope with the notation "BID ENCLOSED" on the face thereof AND the outer envelope shall be marked on the outside with the project title and name and address of the bidder. Description
The Town of Colonie is soliciting bids for the creation, printing, mailing, boxing, and delivery of its Colonie Connection newsletters. The base specifications call for four issues per contract period, approximately 40,500 copies per issue, four-page self-cover newsletters printed full color front and back on 80-pound gloss-coated text stock, with proofs provided for approval. The vendor must deliver finished issues within five business days after approval of final proofs, provide inside delivery, and meet specified proof turnaround times. The solicitation also includes optional quantities and a black-ink-plus-one-PMS-color format. Bidders must price all items in the applicable item groups, including proof processing, printing, mailing using presorted standard mail, and boxing and delivery. The Town will provide the mailing list after award. The initial contract term is intended to run from approximately January 1, 2027, through December 31, 2027, with renewal options for 2028 and 2029. The bid package requires the supplied Bid Form and Bid Response Sheet, non-collusive and Iranian Energy Sector Divestment certifications, a Vendor Responsibility Questionnaire, acknowledgment of the addendum, and current insurance documentation. Addendum #2 replaces the original Bid Response Sheet with Restatement #1 and requires signed acknowledgment of Addendum #2; the submission deadline remains unchanged.
