Description
The City of Arvada is seeking statements of qualifications from vendors to provide on-call secure destruction services for electronic media and devices containing sensitive or confidential information. The scope includes witnessed on-site destruction and off-site destruction of hard drives, laptops, desktops, tablets, mobile phones, USB drives, flash drives, external drives, and other electronic storage media. The initial service event is expected to include 630 hard drives, 757 mobile phones and iPads, and 16 other electronic storage devices at 8101 Ralston Road, Arvada, Colorado, with additional on-demand services during each contract year. Services must comply with NIST SP 800-88 Rev. 1, applicable CJIS and HIPAA requirements, and environmental regulations. Vendors must provide secure chain-of-custody procedures, background checks for personnel handling materials, Certificates of Destruction for each service event, serial-number reconciliation, and documentation of downstream recyclers or e-waste processors. Current NAID AAA Certification or an equivalent industry certification is required. Proposals must include qualifications, technical approach, similar-project references, pricing by visit and device type, the completed vendor submittal form, the requirements checklist, certification documentation, and a rate sheet.
