Description
The City seeks one contractor to provide integrated event management, talent procurement, marketing and promotions, concert and technical production, and event execution for its annual concert season. The contractor must secure, market, produce, and execute at least 12 City-approved concerts, festivals, or other live entertainment and community events per season at a venue with capacity for up to 5,400. Responsibilities include artist sourcing and contracting, marketing plans and creative assets, technical equipment and production personnel, event staffing and operations, ticketing coordination, safety coordination, financial settlements, and performance reporting. Subcontractors require prior City approval. The anticipated initial term is one season, with up to four optional one-season renewals. The City may establish a talent procurement fund of up to $300,000 per season; this is a not-to-exceed authorization, not a guaranteed expenditure. Proposals must include separate technical and price submissions, comparable-event experience and references, proposed personnel and subcontractors, event and marketing plans, required forms, certifications, and licenses. Insurance documentation is required before contract execution, not as a proposal-time submission. The addendum requires acknowledgment with the proposal and adds liquor liability coverage of at least $2,000,000 per occurrence.
