Description
The City of Laredo seeks a professional services team to support the 2027 Port Laredo Global Trade Summit. Work includes strategic planning and project management; research and development of program themes, sessions, and speaker materials; speaker, moderator, and panelist coordination; stakeholder engagement, including support for market activations in Mexico; exhibitor recruitment and coordination; sponsor fulfillment support (but not sponsorship sales); and event operations planning and onsite management. The contractor will coordinate with Port Laredo and its partners while the City retains final authority over Summit decisions and commitments. Respondents must describe their qualifications, comparable experience, proposed approach, project team, trade and stakeholder network, program development and operations capabilities, work plan, references, and fixed not-to-exceed professional services fee, with anticipated reimbursable expenses identified separately. The scope also includes post-event closeout and an After Action Report. The anticipated performance period begins after contract execution and continues through post-Summit closeout; the contract term is one year, with one optional one-year extension by mutual agreement.
