Description
The City is seeking three contractors to provide special event equipment rentals and related services on an as-needed basis for events, festivals, ceremonies, programs, and recreational activities. Equipment includes tents and canopies, lighting, portable flooring and carpeting, tables, linens, chairs, cooling and heating equipment, bars, pipe and drape, stages, fencing, picnic tables, ovens, stoves, and food warmers. Bidders must provide hourly pricing for the listed equipment and services. Contractors must furnish personnel and transportation, deliver and install equipment, complete setup and testing within City-established timeframes, coordinate with City staff, and handle teardown and removal. Equipment must be clean, safe, operational, and suitable for public use. The City intends to award contracts to three qualified bidders and distribute assignments based on pricing, availability, operational needs, and performance; no minimum work or revenue is guaranteed. The initial contract term is three years, with two one-year renewal options. The solicitation requests a letter of transmittal, service-start timeline, pricing breakdown, key-personnel resumes and roles, five similar-project references, bidder questionnaire responses, specified affidavits and certifications, and a certificate of insurance. The certificate of insurance is due after award, not with the bid.
