Description
Miami University is seeking a vendor to provide preventive maintenance services for four York chillers at its South Chiller Plant, North Chiller Plant, and Geothermal Energy Plant in Oxford, Ohio. The scope includes annual start-up and comprehensive visits, three annual operational visits, refrigerant and oil sampling and analysis, vibration analysis, condition assessments, maintenance checklists, leak checks, controls and safety inspections, lubrication, electrical inspections, and related reporting. Medium-voltage variable-speed-drive panel inspections are also required annually for specified chillers. Tube brushing and eddy-current testing will be performed by the University, while refrigerant, unscheduled services, and parts are excluded and invoiced separately. The agreement begins January 1, 2027, expires December 31, 2031, and may be renewed annually by mutual agreement. Proposals must include detailed pricing, references for at least two similar projects, responses in the RFP's order, completed required forms, any exceptions or deviations, sustainability information, and a statement regarding participation in the University's Single Use Account payment program. Evaluation will consider qualifications, personnel credentials, references, service approach, compliance, reliability, price, and related value.
