Description
Texas Cyber Command is seeking one or more vendors to provide event planning and management services for cybersecurity education and training events serving state and local governments, public education institutions, and the general public. Events may be remote, in person, or hybrid and include a two-day flagship event with approximately 500 attendees and more than 100 exhibitors and sponsors, an annual in-person information security officers' meeting, and a month-long cybersecurity awareness series. The scope includes event planning, exhibitor and vendor coordination, venue and site coordination, online attendee and exhibitor registration, payment and refund administration, speaker outreach and logistics, marketing and communications, event websites, event materials, accessibility-compliant registration tools, on-site registration, financial and progress reporting, and coordination of catering, audio/visual, virtual platforms, and other service providers. Vendors must demonstrate at least 10 years of relevant experience, experience managing approximately 150–225 exhibitors, and experience managing event service providers. Responses must include experience and planning narratives, key-personnel resumes, pricing, vendor experience and reference materials, a subcontracting plan, accessibility documentation, financial documentation, and required state forms and certifications. The anticipated contract is for one year with four optional one-year renewals, with no minimum purchase or compensation guarantee.
