Description
The California Department of State Hospitals—Napa is soliciting bids for as-needed off-site storage and retention of highly confidential patient records. The contractor must provide the equipment, materials, supplies, personnel, transportation, licenses, permits, secure storage facility, online records-management database, and related services necessary to store and manage DSH records. The scope includes initiation and permanent removal services; storage of multiple box sizes; inventory, registration, barcoding, indexing, retrieval, refiling, will-call, standard, rush, emergency, after-hours, weekend, and holiday handling; pickup and delivery; online database access and training; and transportation of records. The facility must be within 50 miles of DSH-Napa, have 24-hour interior and exterior surveillance and NFPA 232-compliant fire-prevention systems, support remote disaster-plan access and control, and comply with HIPAA requirements. The anticipated agreement term is November 14, 2026, through November 13, 2029, with two possible additional one-year extensions.
