Description
The Department of State Hospitals is soliciting bids for as-needed off-site records storage and retention services for DSH-Napa. The contractor must provide secure storage for DSH records, including confidential patient protected health information, along with initiation and container registration, inventory and barcoding, retrieval and refiling, web-based retrieval, pickup and delivery, will-call, standard, rush, emergency, after-hours, weekend, and holiday handling, and permanent record or container removal. The contractor must operate a secure storage facility within 50 miles of DSH-Napa, with 24-hour interior and exterior surveillance, fire-prevention systems compliant with NFPA 232, HIPAA-compliant safeguards, remote access and control of the security system and database, a disaster plan, trained and screened personnel, and an online records-management database. The anticipated agreement term is November 1, 2026, through October 31, 2029, with services provided seven days per week, 24 hours per day, on an as-needed basis.
