Description
Elgin Independent School District is soliciting proposals for a comprehensive district-wide lease or rental program covering approximately 67 copier and digital duplicator machines. The scope includes new multifunction equipment with copying, printing, scanning, faxing, secure-print, network connectivity, LDAP/Active Directory integration, badge access, reporting, and related software capabilities. Proposed equipment must meet specified speed, volume, paper-handling, security, scanning, faxing, and connectivity requirements across multiple black-and-white copier categories. The awarded vendor must provide delivery, installation, configuration, testing, training, preventive maintenance, repairs, replacement parts, consumables other than paper and power, technical support, loaner equipment when necessary, equipment relocation or removal, reporting, and hard-drive data removal at the end of the rental. Pricing must be based on an existing valid cooperative purchasing or state contract and include all associated charges. The initial term is three years with two additional one-year renewal options. Vendors must submit pricing, equipment brochures and feature lists, power and space requirements with outlet photographs, three references, required certifications and forms, a completed W-9, and other required questionnaire responses.
