Description
The City of Troy is seeking one vendor to administer its Turkey Trot road race beginning in 2027. The event includes 5K and 10K races, a grade-school one-mile race, and a health walk, with more than 8,000 participants annually. The contractor will develop the event timeline and budget; design and certify the courses; obtain sponsorships; provide marketing, public relations, graphic design, website, social media, online registration, and volunteer recruitment; and manage packet pickup, registration, start and finish areas, course logistics, traffic and crowd control, timing, announcements, staging, setup, breakdown, awards, cleanup, and post-race reporting. The contractor must provide or arrange the required structures, sound systems, clocks, barricades, cones, shirts, awards, photography, bibs, signage, furniture, tents, radios, and vehicles; secure necessary municipal permits and services; obtain USATF sanctioning; manage subcontractors; and submit a complete estimated budget, prior-race references, regular updates, and a final profit-and-loss statement. The initial contract term is three years, with two additional one-year extension options. The contractor must also pay the City $60,000 in 2027 for specified municipal services, with a 5% annual increase thereafter.
