Description
The City of Independence is soliciting sealed proposals for a comprehensive managed print services and cloud fax solution supporting its copier, printer, scanning, and fax environment. The selected vendor must provide A3 color copiers and A4 color multifunction printers, along with installation, configuration, training, maintenance, toner, parts, labor, delivery, monitoring, service calls, reporting, and lease-return shipping for existing equipment. The cloud fax solution must support five numbers and approximately 250 pages per month, including porting, setup, support, training, administration, and cutover assistance. Proposals must address implementation, service coverage, response times, escalation, technician and parts availability, security, reporting, consolidated billing, adjustable volume allowances, and overage pricing. Addendum No. 1 requires acknowledgment in Appendix A: Proposal Submittal Form, Section 3, and revises the pricing schedule to add an annual allowance of 3,000 color pages for A4 printers. The requested agreement is a 60-month fair-market-value lease, with a 36-month alternate option.
