Description
The Office of the Circuit Executive for the District of Columbia Circuit is issuing this Request for Information (RFI) to gather market research on hotel and meeting facilities for their biannual bench and bar circuit judicial conference, scheduled for June 2028. The event is expected to host approximately 400-450 participants, including judiciary, lawyers, speakers, and staff, and should be located outside the DMV metro area. The ideal venue should be a 4-star equivalent or better, compliant with the Hotel and Motel Fire Safety Act of 1990 and the Americans with Disabilities Act, and registered on the Central Contractor Registration website. The judiciary is tax-exempt. Key requirements include guest rooms (approximately 15 on Monday, scaling up to 300-320 from Tuesday to Thursday), and extensive meeting and function space available for a 24-hour hold daily. This includes a staff office, security command post, event registration area, a ballroom for general sessions (classroom style for 400), a breakout room, a welcome reception for 250-300, and reception and dinner events for 350-450. Food and beverage services are required, including buffet breakfast, mid-morning breaks, a welcome reception, and catered dinners. Audio-visual needs include projectors, screens, microphones, a confidence monitor, and video recording capabilities. Preferred features include proximity to recreational activities, dining, and shopping, on-site dining options, and a fitness center. Complimentary suite upgrades for VIP guests are also requested.
