Request for Proposals (RFP) for Recreation and Event Management Software RFP # 327000084 WORK SUMMARY: The Town of Gilbert, Arizona (hereinafter “Town”) is soliciting qualified Proposers for recreation and event management software for the Gilbert Parks and Recreation department to provide recreational services and amenities to residents, manage facility reservations and ticket sales for events, and address additional miscellaneous needs related to recreation. AWARD TERMS: The initial Agreement term will commence upon execution of the Agreement and continue through June 30, 2031. The Agreement may be renewed for up to five (5) additional one (1) year terms. ISSUE DATE: October 28, 2026 DUE DATE: December 2, 2026, before 10:00 am, Arizona Time PRE-PROPOSAL CONFERENCE:November 5, 2026 at 2:00-3:00 pm Arizona Time. Pre-Proposal Conference Link. DEADLINE FOR INQUIRIES: The deadline for inquiries is November 12, 2026 at 2:00 pm, Arizona Time. Questions and/or inquiries must be submitted in writing. Questions submitted after this date and time will not receive a response. The Town of Gilbert reserves the right to issue RFP amendments after the question-and-answer period. It is each Proposer's responsibility to check the website www.gilbertaz.gov/rfp for addenda to this RFP. SUBMITTAL PROCESS: Please email your proposal to Dior Chapman at dior.chapman@gilbertaz.gov and Ernestine Tesarek at ernestine.tesarek@gilbertaz.gov before 10:00 am, Arizona Time, December 2, 2026. The proposal shall be in PDF format, clearly marked with the name of the RFP, the RFP number (listed above), and the name of the Proposer. Once your proposal is received, you will receive an email confirmation from Dior Chapman or Ernestine Tesarek, and the “As Read List” will be posted at www.gilbertaz.gov/rfp.
