Description
The Washington State Gambling Commission is soliciting a contractor to provide on-site document preparation, scanning, indexing, file naming, and quality assurance services for approximately 520,000 images from agency records. Work includes removing bindings, preparing files and separator sheets, scanning at a minimum of 300 DPI with color detection and multi-page PDF output, creating files using the required naming convention, reviewing files for legibility and scanning anomalies, and transferring completed PDFs to a secure network folder for automated ingestion into Laserfiche. The contractor must provide scanning equipment for the project, use Washington State Gambling Commission workstations, and recommend network-based scanning equipment and software for the agency's ongoing needs. All work must be performed on-site by qualified staff, who must complete background checks, fingerprinting, policy acknowledgments, nondisclosure requirements, and Criminal Justice Information Services training. The estimated project value is $150,000 or less, and the initial performance period is estimated to run from November 17, 2026, through March 31, 2027, subject to negotiation or amendment.
