Description
The City of St. Joseph is soliciting proposals for the rental of approximately 40 new color copiers in various configurations for city departments and facilities. The contractor must furnish the equipment, installation, software, training, maintenance, replacement parts, labor, toner and waste-toner containers, technical support, and an online service-request portal. Copiers must support automatic duplexing, a minimum 200-sheet automatic document feeder, perforated and heavier bond or cover stock, secure or pull printing, SMB v2 or higher scan-to-folder functions, and AES-256 or higher internal data-storage encryption. Pricing must include a fixed monthly equipment rental or lease charge plus separate per-impression charges for black-and-white and color usage, based on actual meter reads. The initial rental term is 36 months, with two possible one-year renewals, for a maximum term of five years. The proposal must include technical brochures for each offered copier, three references from customers using a similar quantity and type of equipment, and a sample leasing agreement; third-party financing is not accepted. Certain locations may require CJIS background checks, a HIPAA business associate agreement, and cooperation with PCI-DSS compliance requirements. The contractor must provide at least two days of on-site training after installation and sanitize or destroy device storage media in accordance with NIST SP 800-88 and applicable security requirements.
