Description
The City of Raleigh Parks, Recreation and Cultural Resources Department is seeking a vendor to provide, implement, and support a centralized participant form management solution that interfaces with RecTrac, the department’s recreation-management system of record. The preferred solution is a commercial off-the-shelf software-as-a-service product rather than a custom-developed system. The solution must support form creation and configuration, automated assignment based on participant and program attributes, electronic distribution and mobile completion, electronic signatures, multilingual presentation, real-time status tracking, reminders, reuse of valid forms, records retention, reporting, dashboards, accessibility, privacy, security, and electronic-signature compliance. The scope also includes integration setup, configuration, implementation, testing, training, documentation, hosting, maintenance, and ongoing technical support. The initial deployment covers approximately 5,500 participants, with growth to approximately 7,000 and potential future expansion to approximately 50,000 participants. Vendors must provide pricing, a proposed implementation plan and schedule, support details, security information, and capacity for growth through the anticipated contract term.
