Description
The City of Pasadena seeks a qualified vendor to provide sampling kits and laboratory analysis for motor oil, power steering fluid, engine coolant, transmission fluid, and hydraulic fluid used in City-owned heavy-duty vehicles and equipment. The vendor must supply compatible collection containers, identification materials, instructions, prepaid return shipping materials, and additional kits on an as-needed basis. City personnel will collect and return samples; onsite sampling, vehicle inspections, and mechanical repairs are not required. The vendor must analyze submitted samples using appropriate industry-recognized methods, provide individual PDF laboratory reports within five business days of laboratory receipt, identify abnormal or critical conditions, provide interpretations and recommended maintenance actions, maintain historical results, and answer clarification requests. Sampling kits must generally be delivered within ten business days of an order, and the contract is scheduled for November 2, 2026, through June 30, 2027, with testing for unused kits purchased during the term honored for at least twelve months after expiration.
