Description
Charlotte Mecklenburg Library seeks an experienced full-service catering partner for two New Main Library opening events in April 2027: a staff celebration and preview for approximately 500 guests, and an invitation-only donor recognition event for approximately 1,000 guests. The scope includes menu development, food and beverage service, professional staffing, setup, replenishment, clearing, and strike; drop-off catering is not acceptable. The staff event requires a hot seasonal buffet, vegetarian and vegan options, standard beverages, an elevated mocktail bar, dessert service, and staffing for staggered lunch rotations. The donor event requires passed and stationed appetizers across all five floors, a menu tasting for up to ten people, full bars and mocktail stations, and staffing for simultaneous service throughout the building. Proposals must include firm experience, two comparable events, representative menus and service approaches, preliminary staffing plans, two references or authorization to contact comparable-event clients, and pricing for each event and both events combined, including assumptions and applicable cost categories. The initial contract term is December 1, 2026, through May 2, 2027.
