Description
The City of Elgin is seeking bids for production stages, sound systems, lighting, and video equipment for its signature "Nightmare on Chicago Street" event. The scope includes three main stages: a Main Stage (Stage 1), a DJ Stage (Stage 2), and a Plaza Stage (Stage 3), each with specific requirements for staging, sound (PA systems, monitors, microphones), lighting (overhead, ground mount, spotlights), and video (video walls, control, input). Several alternates are also listed, including different load-in windows, additional runway and audio delay towers, and trailer screens. In addition to equipment, bidders are required to provide all necessary setup and strike labor, and all staff to run the equipment for each stage. The event is scheduled for October 16-17, 2026, with load-in beginning on October 15, 2026. A mandatory site tour is required for all prospective bidders prior to the bid submission deadline, scheduled by contacting Nickon Etminan. Bidders must submit pricing for all requested items and alternates. Several forms are required with the proposal, including a Bidder's Employee Utilization Form, Certification Requirements, Equal Employment Written Commitment Guidelines, a Sexual Harassment Form, and a Tax/Collusion/Debarment/Prevailing Wage/Legal Status of Employees Affidavit.
