Description
St. Charles County is soliciting bids for up to approximately 40 new, unused, current-production multifunction copier/printer devices for County departments and facilities. The scope includes equipment, accessories, delivery, assembly, installation, configuration, testing, network and security integration, end-user orientation, administrator documentation, and optional removal, trade-in, recycling, or disposal of replaced equipment. Proposed devices must support applicable copying, printing, scanning, faxing, finishing, secure printing, document management, and enterprise network requirements. The selected vendor must provide comprehensive maintenance and support for four years following notice of award, including preventive maintenance, on-site diagnosis and repair, technician labor and travel, replacement parts, firmware-related service, and technical support. Bidders must submit equipment and pricing for each listed location, four-year maintenance and total-cost-of-ownership pricing, service-level commitments, local technician and parts information, security and data-sanitization procedures, implementation plans, warranty information, trade-in or disposal options, three comparable references, and a clearly labeled exceptions section. The County will evaluate overall value, including reliability, service capability, equipment suitability, security, experience, implementation, and cost.
