Description
The Virginia Lottery seeks qualified travel agencies to provide comprehensive travel planning, booking, and management services for promotional prize winners. The scope includes domestic and international airfare, upscale hotel accommodations, private ground transportation, itinerary development, curated VIP experiences, supplier coordination, group travel management, and travel insurance options. The contractor must coordinate third-party travel, hospitality, entertainment, and experiential providers and develop customized prize packages. The contractor must provide 24/7 travel support, respond to inquiries and service issues within one hour, manage cancellations, rebooking, emergencies, accessibility needs, and international travel requirements, and advise travelers regarding passports, visas, immunizations, and related documentation. Offerors must have at least two years of comparable experience and demonstrate experience with incentive travel, rewards programs, or promotional campaigns. Proposals must include capability and methodology information, two past-performance case studies, two sample trip proposals with detailed pricing, and SWaM participation information. The solicitation anticipates approximately 15 trips during the initial contract year, but no minimum volume is guaranteed. The initial term is one year with up to three one-year renewal options, and multiple awards may be made at the Lottery's discretion.
