Description
LACERA seeks an integrated virtual mailroom service for physical mail and digital submissions received through eFax, its online portal, and dedicated email. The contractor will pick up USPS mail in Pasadena, process approximately 6,500 pieces monthly, scan and classify documents, capture metadata, and securely route records to appropriate queues and recipients. The scope includes special handling for checks, money orders, warrants, confidential business mail, and original or certified legal and vital records, as well as return of physical documents and daily reporting. The solution must provide a searchable front-end application and integrate with Microsoft 365, OpenText Captiva, IBM FileNet P8, and Mailtracker. Requirements include OCR, audit trails, role-based access, quality control, secure data handling, 90-day digital retention, and tested business continuity and disaster recovery. Respondents must document relevant experience, provide three client references, identify proposed subcontractors and processing locations, and submit security compliance evidence or the specified security questionnaire when applicable.
