Description
The University of Florida (UF) is soliciting proposals for a scalable Digital Asset Management System (DAMS) to replace their existing SobekCM system, which currently hosts the University of Florida Digital Collections (UFDC). The new system must centralize the storage, discovery, and distribution of UFDC's existing 1.3 million digital assets. It needs to support the addition of up to 5,000 new items monthly, offer advanced search capabilities, bulk metadata editing, and secure role-based access. Additionally, the system should include a robust monitoring, logging, and error-reporting framework to ensure uptime and facilitate quick incident resolution. The proposed solution should also support features such as custom metadata fields, bulk metadata editing, full-text search, geographic search, custom search facets, and integration with external authority platforms. The system must be mobile-responsive and comply with WCAG 2.1 standards, with support for site translations into French and Spanish. Storage requirements include 100TB of data storage with scalability. The term of the agreement will be for an initial period of five (5) years, with an option to renew for up to two (2) additional one-year periods, based on satisfactory performance and mutual written approval. The University of Florida is a large public research university with over 62,000 students and a significant digital collection. The evaluation criteria will include the proposed system's ability to meet requirements, vendor support quality, pricing and overall value, success in similar higher education environments, and compliance with UF terms and conditions.
