Description
The University of Texas at Austin seeks a secure, cloud-based race registration and event management platform for its annual Longhorn Run and future recreational sports endurance events. The platform must support registration and participant management, payment processing, waivers, communications, volunteer management, race-day check-in and operations, timing-system integration, results, reporting and analytics, historical participant records, and retention efforts. The contractor will provide implementation, configuration, hosting, maintenance, training, customer and technical support, and ongoing event-planning and operational assistance. Proposals must address the platform’s functionality, implementation and annual event support approach, staffing, qualifications, pricing, and responses to the university’s required questionnaires and security, accessibility, and electronic-information-resources attachments. Vendors must demonstrate at least five years of relevant experience, provide at least three client references from the past five years, maintain PCI-compliant payment processing and secure data-handling practices, and support integration with race-timing vendors. The agreement is anticipated to begin November 1, 2026, for an initial term through October 31, 2029, with up to two one-year renewals.
