Description
Brockton Public Schools (BPS) is soliciting proposals for a comprehensive, districtwide Managed Print Services (MPS) solution. The objective is to transition from a large, decentralized fleet of printers and copiers to a right-sized, centrally managed print environment that is fiscally sustainable, operationally efficient, and educationally supportive. The awarded vendor will be responsible for fleet right-sizing, hardware procurement and installation, print management software, secure pull-printing, supply management, maintenance and support, and ongoing account management. The current environment consists of approximately 1,788 print devices across various schools and administrative sites. The proposed solution is not a like-for-like replacement; vendors are expected to propose a substantially consolidated future-state fleet based on provided utilization data. The future-state fleet design principles include a centralized instructional print fleet of black-and-white MFDs only, with color devices proposed separately for administrative uses. All hardware must be new and include a full manufacturer warranty. The solution must include a centrally administered print management platform with real-time monitoring, automated alerts, reporting capabilities, and compatibility with the District's Active Directory/Entra ID environment. A secure pull-printing (Follow-Me printing) solution with badge release, PIN, or mobile credential authentication is also required. The vendor will be responsible for furnishing, installing, and transitioning all equipment within 90 days of contract execution, including the removal and disposal of all decommissioned devices. Supply management will be automated, with universal toner and supplies, on-site backup inventory, and proactive delivery. Maintenance and repair services must meet specific service level agreements (SLAs), including response times and uptime guarantees. The vendor will also provide staff training and a dedicated account manager for reporting and program transparency.
