Description
The Virginia Department of Housing and Community Development is soliciting a small-business set-aside for an event planner or host hotel to support Virginia Building Code Academy courses in Area 98. The contractor must arrange two educational meeting spaces, a separate meal space, lodging for estimated overnight participants, breakfast and lunch, morning and afternoon snacks, full-day refreshments, parking, internet access, audiovisual equipment, and related facility services for the October 27–29, 2026 program. The estimated attendance is up to 90 participants per day, with lodging and meal quantities varying by course and day. The contractor must conduct a site visit and inspection of the proposed facility within 30 days before submitting a quote, secure and coordinate the required facilities and subcontractors, provide 24-hour availability for issues, and submit cancellation-policy documentation with the quote. The mandatory Quick Quote Worksheet requires pricing for event/conference arrangements, lodging, restaurant/catering provisions, and event-planner services, along with facility, hotel, vendor, SWaM certification, and site-visit information. Responses are awarded to the lowest responsive and responsible bidder and must be submitted electronically through the Virginia eVA Quick Quote application.
