Description
Kaysville City is requesting proposals from qualified audiovisual integrators to replace and upgrade audiovisual systems in the City Council Chambers, Council Conference Room, Staff Conference Room, and Police Department Emergency Operations Center. The work includes evaluating existing equipment for reuse, replacement, or removal; designing and supplying current, commercially supported systems; installing, programming, configuring, commissioning, and testing the systems; and providing system documentation, editable programming files, credentials, warranties, training, and support information. The Council Chambers solution must improve speech intelligibility and reliability and support integrated audio, displays, PTZ cameras, lighting, meeting presets, public-comment timing, assistive listening, local recording, independent live streaming, web conferencing, secure remote management, and recovery after power interruptions. The conference rooms require simple source selection, BYOD web conferencing, cameras, microphones, speakers, and portable-recording outputs. The Police EOC requires reliable video-wall and side-display routing, wired and wireless presentation, rechargeable wireless microphones, PTZ cameras, local recording, web conferencing, assistive listening, remote management, and network integration. Proposals must include a technical narrative, compliance matrix, detailed equipment list, project and transition schedule, completed standardized pricing matrix, warranty and support offerings, recurring-cost disclosures, exceptions and assumptions, qualifications, personnel, and references. The selected firm must provide design drawings, installation and programming, training, acceptance testing, and final as-built documentation. Relevant experience, applicable manufacturer certifications, local or regional service capability, and three comparable project references completed within the last five years are required. The proposal must remain valid for at least 120 days.
