PUBLIC NOTICE NOTICE FOR REQUEST FOR PROPOSALS FOR AUDIO VISUAL PROJECT The Information Management Office of DeKalb County Government is seeking proposals for an audio-visual system for a conference room and three audio-only rooms located at DeKalb County's Legislative Center at 200 N. Main St. in Sycamore, Illinois. Responses will be accepted until 9:00 AM CDT on Wednesday, October 28, 2026. All responses must be submitted by email to imorfp@dekalb county.org and must clearly be marked as “final”. Specifications and requirements are available at www.dekalbcounty.org. Once on the website, go to the drop-down menu, under “GOVERNMENT” and select “INVITATION TO BID”. Proposals will be opened at 10:00 AM CDT on October 28, 2026 and publicly read aloud. Description

DeKalb County is soliciting proposals for a turnkey audiovisual system serving one primary conference room and three auxiliary audio-only rooms. The scope includes system design, equipment and materials, removal of existing audiovisual infrastructure, mounting, cabling, labeling, installation, DSP and control programming, testing, tuning, commissioning, documentation, staff training, and a minimum one-year labor warranty with manufacturer warranties passed through. The conference room system must include three 98-inch commercial displays, a minimum 7,300-lumen laser projector and motorized screen, distributed ceiling speakers, wireless microphones, DSP processing, AV-over-IP equipment, touch-panel control, Bluetooth and HDMI inputs, ceiling-array microphones, integration of two existing PTZ cameras, and an ADA-compliant assisted-listening system. The three audio-only rooms require ceiling speakers, DSP routing and control, local volume control, cabling, testing, and commissioning. A real-time caption overlay system is an optional add-on. Proposals must include company experience, a detailed bill of materials and pricing, labor and total cost, project schedule, warranty/support/maintenance information, three similar-project references, and a draft contract incorporating the mandatory clauses. A mandatory site walkthrough is required before submission.
