Description
The City seeks a turnkey upgrade of its existing City Hall Council Chambers audio/visual system, including design, equipment, installation, integration, testing, and commissioning. The scope includes displays and video inputs, wireless presentation, a dedicated Dell conferencing computer, remote-participant audio and video, recording and storage, digital signal processing, distributed speakers, microphones, touch-panel controls, networking, racks, conduit, power, cabling, acoustic treatment, and removal or termination of existing wiring. The system must support future live streaming, although the City does not currently plan to stream meetings. The proposal should include a publicly accessible voting system, and the contractor must repair damage caused by installation and provide system schematics upon completion. The contractor must provide staff training, documentation, technical support, and the specified warranties. The City clarified that the contractor must provide the conferencing computer for review and approval by the City's IT consultant before ordering and installation, and that the installation plan must account for the lack of roof or attic access. Proposals may include the qualifications and experience of an identified A/V subcontractor, with its role clearly described. The prime contractor remains responsible for the RFP's insurance requirements and must submit the required E-Verify affidavit with its proposal. Addendum 1 must be signed and included with the proposal.
