Description
The City of Laredo, through the Laredo Convention & Visitors Bureau, is soliciting proposals for a turnkey meeting and event application platform supporting legislative trips and related events. The solution must provide participant registration and secure user access; meeting-request and approval workflows; event and individual meeting schedules; speaker profiles; document and meeting-material management; maps and locations; group, meeting-specific, and one-to-one communications; push notifications; surveys; custom City and LCVB branding; and an administrative portal for managing participants, meetings, documents, schedules, notifications, surveys, reports, and permissions. The selected vendor will provide application setup, creative development, configuration, implementation, hosting, licensing, testing, quality assurance, training, technical support, launch, and post-launch support. The application must be accessible on Apple iOS and Android devices and support at least 100 users or licenses per event. Vendors must describe the proposed technology, data storage and export practices, support procedures, limitations, and detailed pricing, including event-management tools, session attendance management, shared-document fees, surveys, per-event costs, and other fees. The contract is for an 11-month initial term with five possible one-year extensions; final application delivery is required by November 6, 2026, and the completed product must be available for City use no later than November 30, 2026.
