Description
The University of Manitoba is seeking an event planning company to support the National Centre for Truth and Reconciliation’s annual Truth and Reconciliation Week program. The engagement covers the 2027, 2028, and 2029 events, with possible one-year options for 2030 and 2031. The estimated budget is CAD 1.6 million before taxes for each event, consisting of the supplier’s fee and reimbursable expenses, with the majority of the cost being reimbursable expenses. The supplier will not be required to advance event costs; approved expenses will be paid in advance through a supplier invoice. A final report reconciling costs to the approved budget is required after each event. The scope includes managing and maintaining the WordPress website and education portal; curating, adapting, producing, and delivering educational assets under the direction of the NCTR education team; managing communications and registrations; producing virtual and hybrid programming; and coordinating venues, speakers, performers, moderators, technical teams, interpreters, cultural advisors, Elders, Survivor supports, vendors, security, travel, and payments. The supplier will support a live youth empowerment event in a different Canadian region each year, as well as project planning, budgeting, progress tracking, risk mitigation, bookkeeping, reconciliation, reporting, and culturally appropriate engagement with Indigenous communities and residential school Survivors. Public-facing communications, education materials, registration information, and live-event signage must be bilingual. The supplier is not expected to lead fundraising or grant-writing activities, but may support sponsorship-related information and reporting. The same provider, AMP Inc., has delivered event management services since 2022; it is not obligated to provide transition support. Proposals must use Attachments A through H.
