Description
The Des Moines VA Healthcare System is conducting a sources sought inquiry to identify vendors capable of providing comprehensive surgical instrument maintenance and repair services. This includes preventative maintenance and repair for individual instruments and instrument sets, ensuring they are restored to near original manufacturer specifications in terms of functionality and appearance. The contractor will be responsible for services such as sharpening, adjusting, aligning, calibrating, and cleaning instruments, as well as performing various miscellaneous repairs. A key requirement is the provision of an online digital inventory system or tracker for monitoring instrument repair status and requests, accessible by the VA. The contractor must adhere to strict quality control measures, including detailed inspections, proper documentation, and the use of non-OEM parts only if FDA approved with an IFU. The scope of work also includes repairs for rigid instrument containers. The contractor must be able to provide onsite services twice weekly for unscheduled repairs and same-day preventative maintenance for critical sets, with a maximum of two to three days for critical sets to be out of circulation. Routine sets have a seven-day turnaround time. The contractor will be required to place laser-etched QR codes on instruments lacking them and maintain detailed records of all repairs and maintenance activities through the digital tracker. Prohibited repairs include work on instruments with unreadable or missing manufacturer information, and any alteration from the original manufacturer's design. The contractor must also provide documentation of staff training and certifications, and potentially offer in-service training to VA staff.
