Description
The California Department of Public Health (CDPH) is issuing a Request for Information (RFI) to gather market insights on modern, high-volume imaging and indexing solutions. The goal is to digitize approximately 3 million paper marriage records, creating high-quality digital images and structured index data while ensuring secure handling of sensitive documents. Key services required include digital imaging of marriage records from specific years (1987-1997 and 2000-2007), producing black-and-white TIFF images compatible with CDPH's FileNet system, and preparing documents for scanning. The scope also involves extracting and compiling structured index data suitable for FileNet import. Vendors are expected to provide 3-6 trained staff on-site, develop a project plan, ensure compliance with confidentiality standards, protect Personally Identifiable Information (PII), and report any security breaches immediately. Original documents must be returned in their original condition, and images and index data delivered in formats determined by CDPH. Collaboration with CDPH's Information Technology Services Division (ITSD) for data transfer and import into FileNet is also required.
