Description
The Mayor and City Council of Ocean City is soliciting bids for a comprehensive multifunction-device and managed-print-services program. The scope includes furnishing color-capable devices with printing, copying, scanning, and faxing functionality; delivery, setup, installation, routine maintenance, service calls, onsite training, toner, staples, other incidental supplies, monitoring software, supply replenishment, warranty support, and equipment replacement when necessary. The vendor must recommend and appropriately size equipment for Town departments, provide implementation and conversion plans, support network monitoring and reporting, integrate with the Town’s information-technology help desk, maintain specified service levels including a two-hour response window and a 96% first-time-fix rate, and address security, data retention, recycling, equipment disposal, and technology refresh. Bidders must submit pricing for three-year and five-year term options, along with a cover letter, bid form, references, exceptions document, individual principal document, qualification affidavit, non-collusive affidavit, addenda acknowledgment if applicable, bid bond, payment and performance bonds, required licenses or proof of application, and responses addressing the requested implementation, service, equipment, and management approach.
