Description
The City seeks full-service maintenance for its existing copier fleet, including labor, parts, toner and other supplies (excluding paper), drums, and telephone support at no charge. The fleet includes Kyocera and Konica Minolta machines at multiple sites in Summit and Portage counties. The City may add or remove machines during the contract and may require an initial fleet usage assessment after award. Proposals must describe the supplier’s background and qualifications, authorized-dealer status or other qualifications, references, pricing for the full agreement term, service capabilities and response-time commitments, parts availability for the listed machines, meter-reading methods, and toner ordering or supply arrangements. The initial term runs January 1 through December 31, 2027, with options to renew for up to two additional years. Prices are fixed; the City may cancel on 30 days’ notice. The proposal must also include the required supplier submission page, EEO form, and IRS Form W-9.
